Tips   View and edit the catalog hierarchy

The catalog hierarchy groups items in the Ariba Buyer catalogs into categories. Grouping the items into categories makes it easier for users to find what they are looking for.

The catalog hierarchy will prevent you from building invalid tree structures such as adding a folder below a leaf category. The catalog hierarchy will also prevent you from entering invalid data such as duplicate category names.

If a new commodity code was not added to the hierarchy at the time it was created, a warning is displayed and the code will appear in the Uncategorized Items category. Edit this category to make the items easier to find.

Click a tool icon at the top of the screen to take the corresponding action. For example, to fix errors in the catalog, click the Error tool. Tools appear when the screen is accessed from inside a specific supplier catalog. Tools do not appear on screens that are accessed through the Navigation Panel links.

Screen details

To display the Hierarchy Editor screen, click Catalog Manager in the Ariba Buyer Administrator home page and then click Hierarchy Editor. Or click Hierarchy Editor under Catalog Manager in the Navigation Panel.

 

You can:

View catalog hierarchy categories:

  • To expand or collapse the category details, click the plus or minus sign next to each category.
  • To view all subcategories under a category, click any category and choose Expand All Subcategories.
  • To show or hide category details, click View and choose Show Details or Hide Details.
  • To change the hierarchy to another language, click View and choose the language. The languages listed are based on your configuration.

Open an existing catalog hierarchy:

  • To open a draft version of the hierarchy, click File, Open > Draft Version. This option is only available if you previously created a draft version.
  • To open the system version, click File, Open > System Version. This option is only available if you are currently editing a draft version. By default, the system version is already open.

Edit the hierarchy:

  • To add a folder or leaf as a child to a category:
    • Choose New Child Folder Category and enter the name of the new category.
    • Choose New Child Leaf Category, enter the name of the item, choose the code system and enter the code. All the code set domains in your configuration of Ariba Buyer are listed as ClassificationCode.n, along with the system-wide common commodity code set.
  • To add a folder or leaf as a peer to a category:
    • Choose New Peer Folder Category and enter the name of the new category.
    • Choose New Peer Leaf Category, enter the name of the item, choose the code system and enter the code. All the code set domains in your configuration of Ariba Buyer are listed as ClassificationCode.n, along with the system-wide common commodity code set.
  • To delete, cut, or copy a folder category or leaf category, click the item and choose Delete, Cut, or Copy.
  • To paste a category you just cut or copied, click a category and choose Paste as Child or Paste as Peer.
  • To edit a folder or leaf, click the name of the item and choose Edit/View Category. Make changes and click OK to save or Cancel to cancel your edits.
  • If there are multiple commodity or classification codes in a leaf category, enter a comma between each value.

Move a folder or leaf:

  • Click the item and choose Move Up or Move Down.
  • You can move the items within the category to edit their order, but you can not move a folder or leaf out of its current category level.

Search for a category or item:

  • Click any item and choose Find.
  • Use Find Next to find other occurrences starting at the first found occurrence.

Save your changes:

  • To save a draft of your changes without making the changes available throughout Ariba Buyer, click File, Save As > Draft Version.
  • To permanently save your changes, making them available to Ariba Buyer users, click File, Save As > System Version.
  • If you decide not to keep any of the changes you made to the hierarchy during this session, click File, Other > Revert All Changes.
