When you assign a charge as a Non Ariba Buyer Order, Ariba Buyer creates a PCard Reconciliation (PCR) to track the charge and ensure it is approved.

Users with the PCardManager permission can view unassigned charges for inactive PCards and inactive users.

Screen details

To display the Assign Charges screen, select charges on the Select Charges screen and then click Next.

 
  1. Review charge details.
  2. Assign the charges you are reconciling:
    • Purchase Order (does not apply to expense reports). Select this category to assign charges to an existing purchase order (PO) managed in Ariba Buyer.
    • Non Ariba Buyer Order (does not apply to expense reports). Select this category to indicate that a corporate purchasing card was used for a purchase that was not managed in Ariba Buyer, or that you want to dispute a charge. For example:
      • You placed an order in some way other than creating a requisition.
      • You want to justify a purchase made without an approved requisition.
      • You're not familiar with a charge and want to dispute it.
    • Expense Report. You can assign a charge to any expense report whose status is Composing. After you submit an expense report, you can no longer assign charges to it.
    • Deleted. Select this category to indicate the charge is an error. Deleted charges are not removed from Ariba Buyer (for example, you can still search for them); however, they are excluded from accounting and reporting considerations. Only users designated as Purchasing Card Managers can delete charges.
    • Personal (applies to expense reports only). Select this category if you used an expense card to purchase personal items. You are responsible for paying for your personal charges, rather than asking your company to pay them.
  3. Click Next to continue reconciling charges, or Prev to return to the previous screen to select charges.
