Tips   About time sheets

If your hours are different every day, you might want to enter your hours at the end of every work day and save the time sheet instead of waiting until the end of the week to create all the entries at once.

A time sheet is used to track the hours a contractor works. Each time sheet is associated with one line item on a purchase order (the line item under which the contractor was hired) and contains entries for each separate time period the contractor works. When creating the time sheet, if the contractor is associated with multiple purchase orders, you must specify the purchase order against which you're creating the time sheet (the line item from the purchase order you specify is selected automatically based on the contractor's information).

Depending on your configuration, the time sheet can require that you specify the start and stop times for each entry or just the date and total hours worked. You can also choose to enter detailed information, such as the project you were working on for each entry.

The hiring company uses the time sheet to verify the hours a contractor worked. After the time sheet is approved, it is sent to the supplier via Ariba Supplier Network. (In some configurations, all submitted time sheets, even if they have not yet been approved, are sent to the supplier.) The supplier uses the time sheet to pay the contractor for the hours worked and then submits an invoice back to the hiring company.

Each time sheet tracks hours for one work week. The starting day of the work week is determined by the hiring company's policy. If the regular starting day of the work week is before the start date on the purchase order, the starting day on the contractor's first time sheet is the start date on the purchase order. Likewise, if the regular ending day of the work week is later than the end date on the purchase order, the ending day on the contractor's final time sheet is the end date on the purchase order.

If a contractor works more hours than were specified on the purchase order, the quantity or end date on the purchase order must be changed so that the contractor can continue to submit time sheets.
