Considerations to cancel, change, close, or renew a contract

Before you change or close a contract, consider reviewing any requisitions in progress that reference the contract, as well as any release orders that have been issued against it, to determine who might be affected and whether they need to know about the change. Also check your company's business process requirements for any additional steps you should take to change, close, or renew a contract (or a related request).

Change or renew a contract

After a contract is open and ready to use, you might need to change it: for example, to modify existing pricing, discounts, limits, or quantities; add or change existing items, or render line items obsolete; or extend the life of the contract, or add additional funds. In order to change the contract, you must change the contract request (CR) from which the contract originated; see Changing a contract request. After you create and submit the contract change request, it must go through the normal approval process before your changes take effect.

While changing a CR, if you add an item that is already listed on the CR, an error displays when you submit the request for approval. Use one of these methods to resolve the problem:

  • Exit from the CR, delete the change request, and create a new one.
  • Save the CR, exit to the home page, redisplay the request on the Composing status screen, and undo the changes.

You can then create a new change request.

Cancel a contract

You cannot cancel a contract after it is fully approved, but you can close it. To cancel a CR that has not yet been approved, withdraw it to change its status to Composing and then delete it.

Close a contract

You might need to close a contract, for example, to create a replacement, suspend ordering from a specific supplier, or resolve a contract dispute. You can close and subsequently reopen a contract from the Request Details screen.

Contracts reports focus on contract activities and will help you ensure that contract funds are used effectively.
