Tips   Create shared users

To view all groups, roles, and permissions assigned to a shared user, either directly or indirectly, click the shared user name on the Shared Users screen.

The password adapter and unique name together identify a unique shared user. You must specify a supervisor for the new shared user, unless the shared user is assigned NoSupervisor permission or you specify that the user belongs to an organization that is a common supplier.

The Organization pull-down menu for selecting a shared user's organization lists both organizations and common suppliers. In Ariba Buyer, the Ship To Address and Billing Address choices include nonpartitioned shared addresses (ariba.basic.core.Address objects) and Ariba Buyer addresses that are partitioned (ariba.common.core.Address objects). For the Ship To address of a shared user, you can assign one partitioned address for each partition, and one nonpartitioned address. Also for the billing address, you can assign one partitioned address for each partition, and one nonpartitioned address. When you click Save, your changes are saved to the database. Objects (such as users, roles, and PCards) with the Adapter Source set to ManuallyMaintained are maintained within your Ariba Spend Management application and not updated by integration events. Objects with the Adapter Source not set to ManuallyMaintained can be overwritten or deleted by integration events. For more information, see About the adapter source.

To display the Shared Users - Create User screen and create shared users, click Create New or Copy on the Shared Users screen.

 
  1. Enter required general information, such as the adapter source, organization to which the shared user belongs, and supervisor; and other information, such as default currency.
    • When you create a new shared user by copying an existing shared user, you must enter a new unique name.
  2. Assign one or more Ship To addresses and Billing addresses to the shared user. Click Add/Remove to display available choices.

  3. Directly assign groups, roles, and permissions to the shared user, as necessary. Click Add/Remove to display available choices.
  4. If available, click the Table Options icon, located in the row above the column headers, to display commands that control the display of data in the table. For example, you can hide or show columns of data; group data; or export data to Excel.
  5. Click Save to save the new shared user in the database or Cancel to return to the previous screen without saving the new shared user.
    • When you create a shared user, a log message is created in the database audit log.
