Tips   Edit shared users

To view all groups, roles, and permissions assigned to a shared user, either directly or indirectly, click the shared user name on the Shared Users screen.

The password adapter and unique name together identify a unique shared user. You must specify a supervisor for the shared user, unless the shared user is assigned NoSupervisor permission or you specify that the user belongs to an organization that is a common supplier.

The Organization pull-down menu for selecting a shared user's organization lists both organizations and common suppliers. In Ariba Buyer, the Ship To Address and Billing Address choices include nonpartitioned shared addresses (ariba.basic.core.Address objects) and Ariba Buyer addresses that are partitioned (ariba.common.core.Address objects). For the Ship To address of a shared user, you can assign one partitioned address for each partition, and one nonpartitioned address. Also for the billing address, you can assign one partitioned address for each partition, and one nonpartitioned address. When you click Save, your changes are saved to the database. Objects (such as shared users, roles, and PCards) with the Adapter Source set to ManuallyMaintained are maintained within your Ariba Spend Management application and not updated by integration events. Objects with the Adapter Source not set to ManuallyMaintained can be overwritten or deleted by integration events. For more information, see About the adapter source.

When you edit multiple shared users, if any of the users you are editing has an external adapter source, then Source Of Truth: External System is displayed in section headings on the edit screen.

If you click Save and an out-of-date error is displayed, the object you are editing was deleted or edited by another user. For more information, see About out-of-date objects.

Screen details

To display the Shared Users - Edit User screen and edit shared users, select one or more users on the Shared Users screen and then click Edit.

 

Depending on the permissions assigned to you, and whether you are in view or edit mode, you may only view details, or you may both view and edit details.

  1. Modify general shared user information.
    • For a single shared user, modify general information in the fields provided and make selections from the pull-down menus. You cannot change the adapter source. You can edit the password adapter and unique name.
    • To assign common values to multiple shared users for general values, such as password adapter and supervisor, click the corresponding Assign button. Then enter a value in the fields provided, or select a value from the pull-down menus.
  2. Assign one or more Ship To addresses and Billing addresses to shared user(s). Click Add/Remove to display available choices.
  3. Directly assign groups, roles, and permissions to shared user(s), as necessary. Click Add/Remove to display available choices.
    • For a single shared user, you can assign groups, roles and permissions.
    • For multiple shared users, you can assign roles and permissions. To directly assign groups to multiple users, you use the Groups task in the User Manager.
  4. If available, click the Table Options icon, located in the row above the column headers, to display commands that control the display of data in the table. For example, you can hide or show columns of data; group data; or export data to Excel.
  5. Click Save to save your changes to the database, or Cancel to return to the previous screen without saving your changes.
    • A log message is created in the database audit log when a shared user is edited.
